Using Spotlight search

The Spotlight search is an easy way to find almost anything that exists in your community. It also displays your activity history and bookmarked items. It can be quickly accessed by using the search icon in the upper-right corner.

Before you enter a keyword to search, you can see some suggestions based on your recent activity:

  • The latest content items, people, and places you viewed on the Recently Viewed tab. Click Show all my recently viewed content to see more of your browsing history.
  • Content items, people, and places you frequently visit on the Suggestions tab.
  • Your latest searches in quick access on the Search History tab.
  • Your latest bookmarks on the Bookmarks tab. For more information on using bookmarks, see Using bookmarks.
Tip: You can disable your History and Bookmarks from being displayed in the search by using the Don't show history or bookmarks in search option on the Preferences page.

And you get more suggestions when you start typing:

Here you can find details on using the Spotlight Search for the common search tasks.

Searching content items

To start searching, type the word, part of the word, or a phrase you want to search for and press Enter to initiate the search. Suggestions are displayed while you are typing the keyword and may be a good starting point for your search; to use one of them, select it and press Enter.

At this point, the Spotlight search adds a wildcard (*) to the end of your search term. This means that if you’re searching for Library of Congress and press Enter after typing Librar, it searches for library, libraries, and other words with the same stem, not just librar. Note that the Spotlight Search searches for tags as well as content, people, and places.

When searching for content items, you can narrow down the results with filters:

  • With the time filter you get only items updated within the selected period of time: click All time and select the required period. If All time is selected, then search is not restricted by period (which is the default setting).
  • With content filter, you can limit search to only certain content types: click All content and select the required type (or types) from the available list. If All content is selected, then search is not restricted by content type (which is the default setting).

If the Spotlight search does not return the results you need, you can click Advanced Search to see all matching results on the Advanced Search page. This page provides more filtering options to perform a more complex and refined search. For more information, see Search rules.

Searching people

Start typing the name in the search box and check the suggestions as you type, then press Enter to initiate the search. You can search not only by name but also by other details, such as a user's e-mail or department.

A direct match is displayed as a card just under the search box. Any other results are displayed under People (if the match is fuzzy), Content (the items that are associated with the users), and Places (the places that are associated with the users).

If you don't see the user you are searching for, you can click Advanced Search. There you can search for a direct name match if necessary. And you can search for deactivated users only on the Advanced Search page.

Searching for places

Start typing the place name in the search box, then press Enter to initiate the search. You can search also by place description or a content item you know to be in that place.

A direct match is displayed as a card just under the search box. Any other results are displayed under Places (if the match is fuzzy), Content (the items that are associated with the places), and People (who are associated with the places).

Using search history

The Search History tab holds your last three search keywords for quick access.

And clicking on Show all search history opens your search history.

You can remove any keyword from the list by clicking Remove keyword.
